Pooled inventory, smarter reservations, and faster workflows
How this release adds pooled quantities and cost history while improving reservations, verification, inventory maintenance, and member accounts.
One record for a pool of reusable gear
Identical reusable items can now share one pooled record. Set the total quantity and unit, then enter the number moving during reservation, check-out, and check-in workflows. Inventory cards show the pool total and how many units are checked out, while individually tracked gear keeps its existing behavior.
Capacity follows time. Overlapping reservations cannot commit more than the pool contains, but non-overlapping events can reuse every unit. Reservation handoffs preload the assigned quantity, ordinary checkout uses availability at the current moment, and server-side checks prevent over-allocation even when two updates happen at once.
All-day or timed reservation planning
Reservations can cover whole calendar days or exact start and end times. Conflict checks use the selected window, adjacent timed bookings can hand gear from one event to the next, and the schedule stays consistent across the calendar, dashboard, gear history, and printed checklist.
Printed packing lists include pooled quantities. When gear is about to be checked out, GearScout also warns about a reservation beginning within 24 hours—including reservations on contained gear—without preventing an authorized user from continuing.
Purchase details and repair cost history
Gear can record a purchase date and cost. Cost is per unit for pooled and consumable inventory and per item for individually tracked gear. Inventory reports add pooled status, quantity, purchase value, repair consumable cost, repair duration, and lifetime cost.
Repair tickets now accept decimal hours and inventory-backed consumables. Search and group a long consumable list, record the quantity used, and GearScout removes it from stock atomically. Each ticket keeps the name and cost at the time of the repair, so historical totals remain trustworthy after later inventory changes. Labour time is recorded without an hourly rate.
Verification at the right handoff
Each gear checklist can apply at check-out, check-in, or both. Pass/fail, count, and text responses can be required, and the applicable checks from gear inside a container are grouped by item in the same handoff flow.
Submitted responses and warnings are retained with access history. Check-in still calls attention to reported issues, counts below expectations, and differences from checkout, while required responses prevent an incomplete applicable handoff.
Bulk edits and faithful duplication
Select several inventory items and update only their category, location, tags, owner, or condition. A review step lists the exact changes and affected gear before anything is applied.
Duplicating gear now carries every ordinary field into the draft, including quantity and purchase settings, checklists, photos, and the cover choice. Copied photos receive independent storage, while live relationships and activity—checkout state, containment assignments, reservations, repairs, and access history—stay with the source.
Personal profiles and clearer account activation
Members can update their own display name and add, replace, or remove a profile photo. The refreshed identity appears in the account menu and People list, with initials used when no photo is set.
New members receive a one-hour Create Password link instead of being sent through Forgot Password. The link is single-use, existing account holders keep their current credentials when joining another group, and one-time-code sign-in remains available as an alternative.
